Custom Software & AI Automation Built Around How Your Business Works

I design and build custom software, AI automation, and internal business systems for companies in McAllen, the Rio Grande Valley, and across Texas.

The goal is not to sell you another tool. It is to understand where your operation is losing time, where information gets disconnected, and where purpose-built software can make the business easier to operate.

Founder-Led Development

The engineer you talk to is the engineer building the system.

Projects stay close to the technical work from initial requirements through architecture, implementation, testing, deployment, and handoff.

Scope Before Code

Requirements and project boundaries are documented before full development.

Workflow First

The architecture follows the operation instead of forcing the operation into a template.

Human-Controlled AI

AI is used where it adds value while important decisions retain appropriate oversight.

Documented Handoff

The finished system is delivered with the documentation and guidance defined in scope.

What I Build

Three service areas. One engineering approach.

Each engagement starts with the workflow and business requirement. The service category tells us what kind of system we are building; the architecture depends on what the operation actually needs.

01 / Web Applications

Custom Web Development

Custom web applications and customer-facing software built around your business requirements using modern full-stack architecture. No page-builder dependency, generic template, or plugin stack holding the product together.

Best Fit

Customer portals, business websites, SaaS MVPs, dashboards, and web applications that need custom workflows or integrations.

02 / Applied AI

Custom AI Agents & Automation

AI-assisted workflows, RAG systems, and agentic architectures built around approved tools, business data, and explicit operational boundaries. When deterministic automation is the better solution, I treat it as automation instead of pretending it is autonomous.

Best Fit

Lead qualification, document workflows, internal knowledge, routing, data lookup, and multi-step operational processes.

03 / Internal Systems

Internal Business Software

Custom operational software built around the processes your team actually uses, from centralized dashboards and reporting to role-based workflows, data validation, and internal automation.

Best Fit

Businesses that have outgrown spreadsheets, Microsoft Access, disconnected tools, or manual processes that are becoming difficult to maintain.

Software / Operations

Custom software should change how the work gets done.

A new system only matters if it removes friction from the operation. These are the kinds of improvements I design around.

01

Centralize the operation

Bring business-critical information, reporting, and workflows into a system your team can understand and maintain.

02

Connect existing tools

Integrate the systems worth keeping instead of replacing software simply for the sake of rebuilding it.

03

Automate repeatable work

Move repetitive handoffs, data entry, routing, and administrative steps into reliable software workflows.

04

Keep judgment where it belongs

Automate what is appropriate while keeping important approvals and high-impact decisions under human control.

Who I Build For

Different businesses reach the same breaking point in different ways.

The technology changes by project. The common signal is that the existing process has become too manual, too disconnected, or too important to keep improvising.

Small Businesses

When manual work starts costing you customers

For businesses losing time to missed follow-up, repetitive administration, spreadsheets, disconnected communication, or processes that only work because someone remembers every exception.

When the tools you started with no longer work together

For growing organizations that need better integrations, centralized internal systems, cleaner data flows, or a technical partner who can determine what actually needs to be rebuilt.

Founder-Led / Independent

Direct technical ownership from scope to deployment.

Ruben Arevalo AI & Software Studio is intentionally founder-led. The person understanding your requirements is also responsible for the engineering decisions behind the system.

B.S. Computer EngineeringFull-Stack EngineeringApplied AIFounder-Led
01

Technical continuity

Requirements do not have to travel from salesperson to account manager to engineering before reaching the person making architectural decisions.

02

Defensible scope

The project is documented around the actual workflow and requirements before full implementation begins.

03

Maintainable handoff

Deployment is not the end of the engineering conversation. Documentation and operational guidance are part of the handoff defined for the project.

Development / Process

From business problem to production system

Projects move through defined checkpoints so assumptions can be challenged early, scope stays visible, and you see the system before final deployment.

01

Initial Consult

We start with the problem, current workflow, business goals, users, constraints, and what success should actually look like.

02

Plan & Strategy

I translate the requirements into a written technical and project plan so the proposed scope is clear before development begins.

03

Prototype Development

I build an initial working version around the agreed requirements so the workflow and architecture can be evaluated early.

04

Prototype Review

You review the prototype and provide feedback before the system moves into full production development.

05

Development & Testing

The validated prototype becomes a production-ready system with deeper implementation, validation, integration, and testing.

06

Deployment & Handoff

I deploy the finished system and provide the documentation, configuration guidance, and training defined in the project scope.

Questions before starting a custom software project

Straight answers about scope, AI automation, integrations, timelines, delivery, and working with the studio.

ScopeAI AutomationIntegrationsDelivery
How much does custom AI automation cost for a small business in the Rio Grande Valley?+

It depends on scope, but most RGV small-business engagements fall into two categories: a focused automation (one workflow, like lead intake or scheduling) that can be scoped and quoted after a single consult, or a larger internal system (a CMS, a payroll tool, a multi-step AI agent) that gets a written proposal with a fixed scope before any code is written. You'll always know the price and the deliverable before development starts — no hourly guessing games.

What's the difference between AI automation and a chatbot?+

A chatbot primarily responds to a conversation. AI automation connects software, business rules, data, and sometimes language models to complete defined parts of a workflow. A genuinely agentic system goes further by deciding which approved actions or tools to use within its operating boundaries. I choose the architecture based on what the workflow actually needs, with human review retained for decisions where it matters.

Do I need to replace my current software to add AI automation?+

Usually not. Most automation work integrates with what you're already running — your CRM, your spreadsheet, your booking tool — rather than ripping it out. Replacement only makes sense when the underlying system itself is the bottleneck, which is a separate conversation from adding automation on top of it.

How long does it take to build a custom AI agent or internal tool?+

Development time depends on the scope, integrations, data requirements, security needs, and how much of the existing workflow needs to be rebuilt. Smaller automations can usually move faster than full internal systems. Larger projects follow the studio's staged development process so you can review the architecture and a working prototype before final production development.

What happens if something breaks after the project ships?+

Every project includes a documented handoff: how the system works, how to make common changes, and how to reach me if something needs attention. Because I build and maintain what I ship — instead of handing you off to a support queue — issues get diagnosed by the person who actually wrote the code.

Do you work with businesses outside McAllen and the RGV?+

Yes. McAllen is home base, but the same process supports businesses across Hidalgo, Cameron, and Starr counties, and increasingly Austin and Travis County as the studio expands. Development and delivery are remote-friendly; the initial consult can be in person or over a call.
